Contracted Accounting Department

Would you like to get out of the job of managing the accountants? Contracted Accounting Department provides all of the services normally provided by an in-house accounting department.

What this service does for you:

  • Gets you the right mix of service regardless of your business size. Sometimes you need that high-end professional to help with business planning, but other times you just need bookkeeping.
  • Decisions on hiring and firing of bookkeepers and staff accountants becomes our problem not yours.
  • Improving productivity from the accounting department is in the hands of people who know accounting and it's rules.
  • Automated higher level reports such as cash flow projections become possible.
  • You get professional help and analysis in developing those business processes that make you money.
  • Technical assistance from tax planning to inventory management is a phone call away.
  • Your accounting costs are variable and automatically scale up or down with whatever the economy throws at you.

How does it work?

This is a highly customized service that is designed specifically for you and your business. We use our own internally developed web based software to gather your transactions at the source. Since we are the programmers as well as the accountants, we can modify that software to make it specific for your business. All of the reports that you use on a regular basis are available to you through your web-browser. We constantly strive to improve the efficiency of the business processes to reduce time and errors so that your overhead and ours is lower than your competitors.

To get around the "who has the invoice problem", we use a paperless approach to processing. All documents are scanned at either your location or ours and uploaded to the website. From there, our accountants record the transactions and post a link back to the original document. Any original documents that come into our hands are returned to you after we have scanned them into the system.

There are a few differences from an in-house approach. Our personnel are not allowed to authorize disbursements under any circumstance. Check runs are sent to you for signature. Payroll and vendor direct deposits must be authorized and sent to the bank by you. Additionally, most tax returns must be signed by you or your designate.

Our goal is to do what we can to enable your business to grow. We devote part of our accounting budget to getting your business process ready to handle planned expansions.

How much does it cost?

This service is only offered as percentage of sales, generally between one and two percent. We use the percentage of sales approach to both keep your costs in line with what an in-house accounting department would cost and to avoid having to continually renegotiate every time you have a burst in growth.
